This Privacy Policy outlines how we collect, hold, use and disclose your personal information in connection with our website, our subscription AI platform 'SnapInsight' (SnapInsight Platform), and the related services and functionality that we provide (Services). It also explains how you may contact us to request access to, or correction of, that information or make a complaint regarding privacy.

ENTERPRISE CUSTOMERS AND USERS
An organisation may arrange access to the SnapInsight Platform for its clients, members, personnel or other authorised individuals (Enterprise Customer). An individual who accesses the SnapInsight Platform through an Enterprise Customer is a User. The Enterprise Customer, rather than the User, has the subscription agreement with SnapInsight.
Depending on the circumstances, we may handle a User's personal information for our own purposes or on behalf of, and at the direction of, the relevant Enterprise Customer. Enterprise Customers remain responsible for their own compliance with privacy laws, including providing any notices and obtaining any consents or other authority required for the personal information that they or their Users make available through the Services.
COLLECTION OF PERSONAL INFORMATION
Personal information that we may collect and hold about you includes account, identity, contact and profile information provided by you or an Enterprise Customer to register for, administer and access the SnapInsight Platform. This may include your name and preferred name, organisation, role, postal address, email address, phone number, profile image, account identifiers and authentication information.
Other personal information that we collect will depend upon how you interact with us, and may include your name, phone number, email or postal address, social media handles and information provided as part of an application to work with us.
We may collect information about how you access, use and interact with our website, the SnapInsight Platform and the Services. This information may include:
the location from which you have come to the site and the pages you visited;
questions, instructions, prompts, messages, feedback, chat history and Outputs, including personal information contained in or generated from that content;
documents and other material that an Enterprise Customer asks SnapInsight to load into a Knowledge Base, and documents, files or other material that a User uploads or attaches during a chat or other session;
usage and metering data, including the type, time and status of Transactions, token volumes, web searches, tool or reasoning invocations, file-processing and page counts, Credits consumed, available Credits, monthly allowances or prepaid bundles, and related error, retry and performance records;
information obtained from publicly available sources when web-search or related functionality is used, which may include personal information about you or other individuals; and
technical data, which may include your IP address, the types of devices you are using to access the website or Services, device attributes, browser type, language and operating system.
Documents, files, questions, instructions and other content submitted through the Services may contain personal information about the person submitting the content or about third parties. You must only submit personal information where you are authorised to do so and the collection, use and disclosure of that information through the Services is lawful.
We may collect sensitive information contained in content submitted through the Services where the relevant individual has consented, or where collection is otherwise authorised or required by law. You should not submit sensitive information unless it is necessary and you and the relevant Enterprise Customer have the required consent or other lawful authority.
We use cookies on our website. A cookie is a small text file that the website may place on your device to store information. We may use persistent cookies (which remain on your computer even after you close your browser) to store information that may speed up your use of our website for any of your future visits to the website. We may also use session cookies (which no longer remain after you end your browsing session) to help manage the display and presentation of information on the website.
You may refuse to use cookies by selecting the appropriate settings on your browser. However, please note that if you do this, you may not be able to use the full functionality of the website or Services.
Wherever possible, we will collect personal information directly from you. We may also collect personal information from an Enterprise Customer, its account administrators and other Users, from our service providers, and from publicly available sources accessed through enabled web-search or related functionality. We collect information about you and your interactions with us in a variety of ways, for example when you:
are registered for, log in to, or use the SnapInsight Platform or Services;
submit a question, instruction, prompt, message, document, file or other content through the Services;
use web-search, file-processing, reasoning, tool or other functionality made available through the Services;
visit SnapInsight's website at snapinsight.com;
provide services to SnapInsight;
enter a competition or promotion being conducted by SnapInsight;
email SnapInsight or contact SnapInsight by telephone or mail;
contact us via a form (for example by submitting feedback or requesting an improvement to the Services);
engage with SnapInsight via social media;
purchase tickets to attend a SnapInsight event;
send us documents containing your personal information; or
apply for a job with SnapInsight.
USE OF PERSONAL INFORMATION
We may use the personal information we collect in some or all of the following ways:
to register, authenticate and administer Users and provide access to the SnapInsight Platform at the direction of an Enterprise Customer;
to provide, operate, maintain and support the Services, including processing questions, instructions, prompts and files; generating Outputs; performing web searches; invoking reasoning or other tools; and loading chat history when a User returns;
to measure, record and administer Credit consumption, monthly Credit allowances and prepaid Credit bundles, including preparing usage reports for an Enterprise Customer, calculating fees and invoices, investigating usage or billing queries, and detecting attempts to circumvent Credit metering;
to secure, monitor, troubleshoot and improve the SnapInsight Platform and Services, including investigating misuse, errors, retries, performance and service incidents;
to deliver and invoice an Enterprise Customer for products or Services it purchases from us;
to provide you or an Enterprise Customer with information that we think may be of assistance or interest;
for research, analytics and product development and improvement, including identifying trends in how the SnapInsight Platform and our website are used;
to improve our Services and communications; or
to comply with laws and regulations.
In accordance with the agreement with the relevant Enterprise Customer, SnapInsight may use Customer Data, other than User Credentials, to improve its products and services, including further training of the Model. Where Customer Data contains personal information, we will handle that personal information in accordance with this Privacy Policy, applicable privacy laws and the agreement with the Enterprise Customer.
We may create and use aggregated or de-identified information for analytics, service management, capacity planning, pricing and product improvement where the information is no longer personal information.
We may also use your personal information to provide you with information about SnapInsight products and services which we consider may be of interest to you.
You may opt out of receiving marketing communications from us at any time if you no longer wish to receive marketing information or do not wish to receive marketing information through a particular channel, like email.
WHAT HAPPENS IF YOU DON'T PROVIDE THE INFORMATION REQUESTED?
If you choose not to provide personal information that we reasonably require, or the information provided to us is incomplete or inaccurate, we may be unable to provide some or all of the SnapInsight Platform or Services, administer your access or the Enterprise Customer's account, accurately meter Credit consumption, respond to your queries or maintain contact with you.
DISCLOSURE OF PERSONAL INFORMATION

We may disclose or make personal information available to the relevant Enterprise Customer and persons it authorises, including account administrators, because the Enterprise Customer arranges and administers User access, may manage and monitor Credit consumption and may exercise rights in relation to data submitted by its Users under its agreement with SnapInsight.
We may disclose personal information to external service providers so that they may perform services on our behalf. These providers may include cloud hosting and storage providers, AI or model providers, web-search providers, reasoning or tool-execution providers, file extraction and processing providers, identity, access-management and security providers, support and analytics providers, payment processors, auditors and professional advisers.
Depending on the functionality used, information disclosed to a technology service provider may include User Credentials, questions, instructions, prompts, messages, chat history, documents loaded into a Knowledge Base, User file uploads, web-search inputs and results, Outputs, and usage and Credit-metering data, but only to the extent reasonably required for that provider to support the Services.

We may also disclose your personal information to organisations where we are required or authorised to do so by law.
Where your personal information is disclosed to service providers and other organisations, SnapInsight will take reasonable steps to require that your personal information is handled in accordance with applicable privacy laws and the terms governing our use of the relevant provider.
WILL YOUR PERSONAL INFORMATION BE TRANSFERRED OVERSEAS?
Personal information may be stored, processed or disclosed in Australia and in other countries or regions in which our technology service providers or their subprocessors operate. The providers and locations used may change as the Services evolve.
Where practicable, further information about the countries or regions in which overseas recipients are likely to be located is available on request.
Before disclosing personal information to an overseas recipient, we will take the steps required by applicable privacy laws.
CREDIT CARDS
If an Enterprise Customer purchases a product or Service using a credit or other payment card, including a subscription to the SnapInsight Platform or a prepaid Credit bundle, payment-card information is used by our third-party payment provider to process the payment. Payment-card details are not stored by us. Our records may include what was purchased, the amount paid and related transaction information needed for billing, accounting and support. We require payment providers to protect payment-card information when processing payments.
STORAGE AND SECURITY OF PERSONAL INFORMATION
We store most information about you in computer systems and databases operated either by us or our external service providers. Some information about you may also be recorded in paper files that we store securely.
We will take reasonable steps to protect your personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These processes and systems include:
the use of identity and access-management technologies to control access to systems on which information is processed and stored;
requiring all employees to comply with internal information-security policies and keep information secure;
requiring all employees to complete training about information security; and
monitoring and regularly reviewing our practices against our own policies and industry practice.
We retain personal information for as long as reasonably required for the purposes described in this Privacy Policy, including providing chat history, operating the Services, administering and evidencing Credit consumption and billing, resolving disputes, maintaining security and complying with legal, accounting, backup and contractual requirements.
When personal information is no longer needed for any purpose for which it may lawfully be used or disclosed, we will take reasonable steps to destroy it or de-identify it, subject to any legal, contractual, backup or archival requirements.
LINKS ON OUR WEBSITE
Our website, the SnapInsight Platform, Outputs or web-search results may contain links to other sites. This Privacy Policy does not apply to external websites, and SnapInsight is not responsible for the privacy practices or content of those websites.
ACCESS TO YOUR PERSONAL INFORMATION
You have the right to know what personal information SnapInsight holds about you and to request access to it, subject to applicable law.
To request access to personal information that we hold about you, please contact us using the details at the end of this Privacy Policy. You may need to provide proof of your identity before access is provided.
Where we hold personal information on behalf of an Enterprise Customer, we may refer your request to that Enterprise Customer or consult with it before responding, and we will provide reasonable assistance as required by applicable law and our agreement with the Enterprise Customer.
We will respond to your request for access within a reasonable timeframe. If we refuse to give you access to any of your personal information, we will provide you with the reasons for refusal where required by law. UPDATING YOUR PERSONAL INFORMATION
It is important that the personal information we hold about you is accurate and up to date. You may be able to update some personal information by logging into your account on the SnapInsight Platform. For account details controlled by an Enterprise Customer, you may need to ask that Enterprise Customer or its account administrator to make the change.
You may request that SnapInsight take reasonable steps to correct personal information that you believe is inaccurate, out of date, incomplete, irrelevant or misleading, having regard to the purpose for which it is held. You may need to provide proof of your identity before we consider your request.
